OST Challenge takes the protection of personal data seriously — for candidates, jury members, and anyone using this platform. This policy explains what data we collect, why, how it is protected, and what your rights are.

2. Data we collect

Depending on your profile (candidate, jury member, administrator), we collect some or all of the following:

• Identity: title, first name, last name, preferred language;
• Contact details: email address, international dialing code and phone number, postal address, city, postal code, country, nationality;
• Submission information: work title, category, comments, uploaded files (audio demo, score);
• Optional profile: a free-text bio and a profile photo, if you choose to provide them;
• Technical login data: connection log (date, IP address, browser) for security purposes.

No password is ever requested or stored: login happens exclusively through a one-time link sent by email.

3. Purpose of processing

Your data is used exclusively to:

• create and manage your account and submissions;
• run the competition: preselection, anonymized jury evaluation, communicating results;
• exchanges strictly related to the competition (submission confirmations, status notifications, practical information);
• platform security (fraud prevention, logging of sensitive actions).

Your data is never used for commercial communication, prospecting, or marketing purposes, and is never sold or shared with third parties for such purposes.

4. Legal basis

Processing is based on the performance of the competition rules you register for, as well as your explicit consent, collected at registration (acceptance of the terms of use and of this privacy policy).

5. Anonymity towards the jury

Jury members evaluate submissions anonymously: they have no access to any information that could identify you. Only a small team of authorized administrators can, under strictly controlled circumstances, access your identity.

6. Hosting and security

Your data and uploaded files are hosted and stored in France. Connections to the platform are encrypted (HTTPS), files are encrypted at rest, and every uploaded file is automatically scanned for viruses before being made available. Access to data is restricted by role, and sensitive actions are logged.

7. Recipients of your data

Your data is accessible only to OST Challenge's authorized organizing team and, in anonymized form, to jury members assigned to your submission. It may also be shared with our technical hosting providers, acting as data processors, solely for the purpose of providing the service.

8. Retention period

Your data is kept for the duration of the competition, then for 3 years after the close of the edition you took part in, after which it is deleted or anonymized.

9. Cookies

This platform only uses technical cookies that are strictly necessary for it to work:

• a session cookie, to keep you logged in while you browse;
• a device-recognition cookie, if you choose to stay logged in between visits;
• a language-preference cookie.

These cookies never collect data for statistical, advertising, or social-media purposes, and are never shared with third parties. No consent is required for cookies that are strictly necessary for the service to function, in line with applicable regulations; we inform you of this transparently on your first visit.

10. Your rights

Under the General Data Protection Regulation (GDPR), you have the right to access, rectify, erase, restrict, object to, and port your data. You can exercise these rights at any time by writing to contact@ost-challenge.com or via our contact form.

You also have the right to lodge a complaint with the French data protection authority (CNIL) — www.cnil.fr.

11. Changes to this policy

This privacy policy may be updated from time to time. Any substantial change will be communicated to you and may require your renewed consent.
